Privacy notice

How I look after your information.

The short version

Who I am

I’m Oliver Hornby, a sole trader trading as The Boarding Pack. I decide how your personal information is used, which makes me the “controller” under UK data protection law. This notice explains what I collect when you use my questionnaire, pay for a licence pack or message me, and what I do with it.

Contact me at hello@theboardingpack.co.uk with any question about your information.

What I collect and why

I only collect what I need to write your paperwork and run my business. You choose what to tell me, but I can’t write your pack without the answers the questionnaire marks as required.

What I collectWhyLegal basis
Your name, email address and council To contact you and know which council’s checklist to use Contract: needed to provide the service you asked for
Your answers about your home, dogs and daily routine To write your licence paperwork pack Contract
Payment confirmation from Stripe: your name, email and the amount paid To take payment and keep my accounts Contract, and legal obligation for tax records
Messages and emails you send me To reply, and to deal with any questions or changes Contract, and my legitimate interest in answering your questions and keeping a record of what we agreed

I don’t rely on your consent, so there is no consent to withdraw.

I don’t ask for health details, names of children or other special category information. The questionnaire asks only whether anyone under 16 lives in your home. Please don’t put other people’s names or phone numbers in your answers.

I don’t make decisions about you using automated systems.

Who sees your information

I never sell your information, and I don’t share it with your council or anyone else unless you ask me to or the law requires it. I do use these providers to run the service:

ProviderWhat I use it forWhere your information is handled
Tally Hosts the questionnaire and stores your answers Belgium, in the EU
Zoho Mail Sends and receives emails at hello@theboardingpack.co.uk The UK
Stripe Takes your payment. I never see your card number The United States, and other countries under Stripe’s privacy policy. Stripe relies on the UK-US data bridge and standard contract terms approved for UK use
An AI assistant (Claude, from Anthropic) Helps me draft your paperwork. Before I use it, I remove your name, email address and council, so it sees only your answers about your home, dogs and routine. I use Anthropic’s business service, which comes with a data processing agreement The United States, and other countries where Anthropic’s subprocessors work, under standard contract terms approved for UK use

Tally, Zoho and Anthropic handle your information on my behalf. Stripe also handles your payment details under its own privacy policy. If you message me through Facebook or Instagram, Meta handles those messages under its own privacy policy.

How long I keep it

I delete your questionnaire answers within 30 days of sending your pack, and keep payment records for as long as the tax rules require.

WhatHow long
Your questionnaire answers in Tally Deleted within 30 days of me sending your pack, so I can make any changes you ask for
Emails, messages and the pack I sent you Deleted 12 months after delivery, in case you need help or your council has a question
Payment and invoice records At least five years after the 31 January tax deadline for that year, because HMRC requires it (GOV.UK)
